JOB TITLE: Business Support Manager

DEPARTMENT: Full Company

REPORTING TO: Chief Operating Officer

RESPONSIBLE FOR:

  • HR and performance systems and processes 
  • Policies, compliance, and operational systems 
  • Office management and administrative functions 
  • Office Coordinator (direct line management) 

CORE RESPONSIBILITIES

HR/People & Culture Leadership: 

  • Lead and oversee all HR processes, ensuring compliance with UK employment laws and internal policies. 
  • Maintain, update, and ensure team adherence to HR policies and procedures, identifying risks and gaps proactively. 
  • Act as the primary point of contact for HR systems and ensure effective use of these tools across the organisation. 
  • Own the relationship with external HR advisors, leveraging their expertise for complex or legal HR issues. 
  • Ensure recruitment, onboarding, and employee lifecycle processes are robust and efficient. 
  • Monitor compliance requirements, such as eligibility to work in the UK, right-to-work checks, and employee record management. 
  • Oversee performance management and engagement initiatives, ensuring alignment with organisational goals. 
  • Lead and deliver employee surveys, presenting actionable insights to the COO and leadership team. 

Administrative Support: 

  • Provide administrative support to the COO to enable them to focus on strategic priorities and organisational leadership. 
  • Manage the COO’s calendar, schedule meetings, and coordinate logistics for internal and external engagements. 
  • Prepare and organise documents, presentations, and reports required by the COO for meetings and decision-making. 
  • Act as a liaison for internal and external communications on behalf of the COO, ensuring clear and effective information flow. 
  • Monitor follow-up actions from meetings involving the COO, ensuring timely progress and reporting. 
  • Provide diary support for other Senior Leaders as required. 

Policies, Compliance, and Systems: 

  • Ensure operational policies and processes across the organisation are up to date and compliant with relevant standards. 
  • Streamline and optimise administrative processes, focusing on efficiency and effectiveness. 
  • Implement and oversee systems for tracking compliance, performance, and operational risks. 
  • Work collaboratively with leadership to integrate compliance and risk management into daily operations. 

Office Management: 

  • Oversee the Office Coordinator to ensure smooth and efficient office operations. 
  • Maintain vendor relationships and manage office resources to support a productive environment. 
  • Support initiatives that enhance team culture and employee well-being. 

General Administration and Projects: 

  • Lead or contribute to special projects as assigned by the COO, ensuring timely delivery and alignment with organisational priorities. 

KEY OBJECTTIVES / OUTCOMES

  • HR processes and policies are compliant, well-maintained, and followed across the organisation, minimising risks. 
  • The COO is supported with high-quality administrative assistance, enabling them to focus on strategic objectives. 
  • The organisation operates efficiently, with a strong and positive team culture. 
  • Compliance and administrative systems are streamlined and effective. 

REQUIRED SKILLS

  • HR Expertise: 
  • Demonstrable experience in managing HR processes, policies, and compliance within a UK organisation. 
  • Competent in using HR systems and platforms to improve organisational efficiency. 
  • Understanding of the risks associated with non-compliance and the importance of robust HR systems. 
  • Experience managing recruitment and onboarding processes. 
  • Strong organisational and time management skills with high levels of attention to detail. 
  • Proactive approach to identifying risks and ensuring compliance. 
  • Excellent written and verbal communication skills, including the ability to draft clear policies and reports. 
  • Ability to balance multiple priorities, remaining adaptable and solution-oriented. 
  • Confidentiality and discretion in handling sensitive information.
